Booking & Cancellation Policy
Thank you for choosing Vista Chase for your travel experience. To ensure a smooth booking process, please read our policy details below. By booking with Vista Chase, you agree to the terms outlined in this policy.
- Booking Process
We offer two booking options for your convenience:
Option 1: Instant Booking Confirmation
- Book directly through our “Bókun” booking software for immediate confirmation.
- Simply select your tour, complete the payment, and receive a booking confirmation email right away.
Option 2: Custom Inquiry Process
- Submit Inquiry: Fill out our inquiry form on the website or contact us directly via phone or email.
- Receive a Quote: We will respond promptly with a detailed quote based on your desired experience.
- Approve Quote: Confirm your acceptance of the quote to proceed.
- Make Payment: Once approved, we will provide payment instructions. Bookings are only confirmed upon receipt of payment.
- Receive Confirmation: You will receive a booking confirmation, along with an itinerary and any other necessary details.
Note: All quoted prices are in Canadian dollars (CAD) and include applicable taxes unless stated otherwise.
- Payment Terms
- Deposit: A 20% deposit of the total cost is due at the time of booking to reserve your tour. This deposit is non-refundable.
- Balance: The remaining balance is due 14 days before the tour start date. For bookings made less than 14 days in advance, full payment is required at the time of booking.
- Full Payment Option: If you choose to pay in full at the time of booking, our general cancellation policy will apply (see Section 3 below).
- Methods of Payment: We accept payments via credit card, e-transfer, and PayPal.
Failure to make timely payments may result in cancellation of your booking.
- Cancellation Policy
Our cancellation policy is designed to be as flexible as possible. However, certain fees may apply depending on the timing of your cancellation.
Private/Shared Experiences:
- Up to 72 hours before the tour: Full refund, minus a CA$50 processing fee.
- Less than 72 hours before the tour: No refund, as we are unable to rebook last-minute cancellations.
Private Packages:
- More than 14 days before the tour: Full refund, minus a 10% processing fee.
- Between 14 and 7 days before the tour: 50% refund of the total cost.
- Less than 7 days before the tour: No refund.
Note: Refunds for certain activities such as gondola rides, cruises, and other third-party services are subject to the policies of the providers and may vary. We will communicate any such policies when you book.
- Changes to Bookings
- Date Changes: Date changes can be requested up to 7 days before the tour date, subject to availability. Additional fees may apply.
- Activity Changes: We will try to accommodate changes to your itinerary as much as possible. Certain activities, such as gondola rides, ice explorer tours, and cruises, are subject to availability and may incur additional charges.
- Adjustments Due to Weather: For safety reasons, certain outdoor activities may be altered or rescheduled in case of adverse weather conditions. If we need to make adjustments, we will communicate with you as early as possible.
- No-Show Policy
If you do not arrive at the agreed pickup location and time, it will be considered a “No-Show.” In this case, the full amount of the booking will be retained, and no refund will be issued. Please ensure timely communication with us if there are any delays on your end.
- Waivers and Liability
For certain experiences, such as hiking or adventure activities, customers may be required to sign a waiver form before participating. We will notify you in advance if a waiver is required. Refusal to sign the waiver will result in cancellation of the activity without a refund.
- Travel Insurance
We strongly recommend that all customers secure comprehensive travel insurance covering trip cancellations, medical expenses, and personal property. Vista Chase is not liable for any loss, injury, or damage sustained during your travel experience.
- Health and Safety Requirements
Please inform us of any health conditions, allergies, or mobility restrictions at the time of booking so we can tailor your experience to your needs. Certain activities may require physical fitness, and participation will be at your own discretion and risk.
